Seven Signs Your Business Has Outgrown Spreadsheets

Spreadsheets are brilliant until they aren't. Seven warning signs that your business is ready for a proper app, and what to do about it.

Spreadsheets built more businesses than any software product. They're flexible, cheap and everyone knows them. But there's a point where the spreadsheet stops helping you grow and starts holding you back. These are the signs.

1. Only one person really understands it

If the master sheet breaks when its creator goes on leave, it's a risk, not a system.

2. You keep "final_v3_ACTUAL" versions

Multiple copies mean nobody's sure which numbers are right. Decisions get made on stale data.

3. The same data is typed in more than once

A customer's details in the quote sheet, again in the job sheet, again in the invoice. Every re-type is time and a chance for error.

4. Your team works on phones, but the sheet doesn't

Field staff, drivers and installers end up sending photos and voice notes that someone in the office transcribes.

5. Formulas break when someone sorts a column

Fragile formulas are a sign the sheet is doing a job it was never designed for.

6. You can't see what's happening without asking

If "where are we on that order?" needs a phone call, the information exists but isn't visible.

7. Month-end takes days

When reporting means stitching several sheets together, you're paying skilled people to do copy and paste.

What to do next

Don't replace everything at once. Pick the sheet that causes the most pain and ask three questions: who puts information in, who needs to get information out, and what decision does it support? Those answers define a first app that can usually be built in weeks.

Keep the spreadsheet for what it's good at: ad hoc analysis and quick models. Move the repeatable, shared, everyday work into a tool built for it.

If you want a visible picture before you build, a live dashboard over your existing data is often the best first step.
